How it works

How EasyEntry turns a bank statement into a P&L

You upload a bank or credit-card statement — a CSV export, a PDF (scanned PDFs too) or a JPG or PNG photo. EasyEntry reads every transaction, checks what it read against the totals and balances the statement gives, sorts each transaction into standard P&L categories and asks you about the ones it isn't sure of.

The result is a Profit & Loss statement you review, then export to Excel, CSV, PDF or QuickBooks. It usually takes 30–60 seconds.

Step by step

From statement to P&L in five steps

  1. Upload your statements

Drop in one file or several: CSV or TXT exports, PDFs and JPG or PNG photos, up to 10 MB each. Several files — months, accounts, or a bank account and a card — are combined into one P&L, and rows repeated across overlapping files are set aside as likely duplicates that you can keep.

  2. EasyEntry reads every transaction

CSV and TXT exports are read on our server without AI: a layout detector finds the date, description and amount columns, the number format and the sign convention. PDFs and photos are read by AI in two passes — first the statement's printed totals and account type, then each transaction.

  3. It checks the reading against the statement

The transactions it found are added up in cents and compared with the totals and balances the statement prints. If they don't match, it can re-read the statement with the gap pointed out; if they still don't match, the file is marked not verified and you see exactly what is off.

  4. AI categorizes, and asks when unsure

Each transaction goes into one of 26 standard P&L categories — or, for transfers, loans and owner draws, a bucket kept off the P&L — with a confidence score and a short reason. Rows the AI isn't sure about come back as questions: answer them and they're re-categorized, or skip and keep its best guesses. Add the business and owner names when you upload, and owner draws and transfers between the business's own accounts are easier to keep off the P&L.

  5. Review and export

Change any category from its dropdown and the totals update. Every P&L is saved in My P&Ls, where you can reopen, rename and download it: Excel, CSV, a print-ready PDF, or QuickBooks files (.qbo, .iif or a 4-column CSV).

Accuracy and verification

How EasyEntry checks its own reading

AI can misread a PDF or a photo: skip a row, flip a sign, or read one figure as another. So EasyEntry doesn't just trust what it read. It checks the result against figures printed on the statement itself, and tells you when they don't agree.

  • Printed totals. The deposits and withdrawals it found must match the statement's total deposits and total withdrawals within 5 cents.
  • Balance flow. Beginning balance plus deposits minus withdrawals must equal the ending balance — for a card, previous balance minus payments plus charges must equal the new balance. Statements that print only balances are checked this way.
  • Account type. Card statements are read the card way round: charges are money out, payments and credits money in. A summary that only balances the other way round is flagged instead of trusted.
  • The summary itself. If the printed summary doesn't add up as read, a printed figure was probably misread, and EasyEntry says so instead of checking the rows against it.
  • Transaction count. When the statement prints how many transactions it has, the count found must be within 2, or 5% on long statements.
  • Row by row. Unreadable rows, rows with an amount but no description, and amounts that differ from the figure printed on the row are all flagged.
  • CSV files. A CSV is checked against itself where it can be: its running-balance column and its total rows. A card export that lists purchases as positive numbers is flipped or brought to you as a question, never silently.

When a check fails

The file is marked not verified and the issues are listed in plain language. You can enter an unreadable amount, add a transaction the AI missed or remove one, or continue after confirming you've checked the rows against your statement. A P&L built that way says so — on screen, in My P&Ls and at the top of its Excel, CSV and PDF exports.

What the check can't prove

The check shows the transactions add up to the statement; it can't show every category is right. Categories are the AI's judgment, so review them — especially low-confidence rows — and verify the P&L against your statements before using it for taxes or lending.

What you get

What's on the P&L

The P&L follows the usual income-statement layout. Money that moved but wasn't income or an expense is listed separately and kept out of the totals.

Questions about how it works

How long does it take to turn a statement into a P&L?

Usually 30–60 seconds from upload to P&L. You then review the categories and answer any questions the AI asked.

Does EasyEntry connect to my bank account?

No. It works from statements you download from your bank or card issuer and upload. It never asks for your bank login, and there is no bank feed.

What does “not verified” mean on a statement?

The transactions EasyEntry read don't add up to the totals or balances printed on the statement, or the statement printed none to check against. A row may be missing, doubled or misread, so compare the rows with your statement before relying on that P&L.

Can I change a category the AI picked?

Yes. Pick another category on any row and the totals update. Changes are saved to the P&L in My P&Ls, and later exports use them.

Try it on your own statement.
